Privacy Policy
Last updated: 2 October 2026
The short version
- We only collect what we need to hold your booking: your name, phone number and (optionally) email.
- We don't use analytics, advertising trackers or tracking cookies, and we don't sell or share your data for marketing.
- Fonts and images are served from our own server, so visiting the site doesn't send your details to third parties.
What we collect
- Booking details: the ground, date, time, duration and price of each booking.
- Contact details: your name and phone number (required) and email (optional), entered in the booking form.
- Notes added by our staff, such as payment status or team name, to manage your bookings.
- Technical data: like any website, our server receives your IP address with each request. To protect the booking and sign-in forms from abuse (rate limiting) we keep only a scrambled, one-way version of it that can't be turned back into your IP address, and delete it automatically once its time window (at most one hour) has passed. It is never stored with your booking.
Why we use it
- To confirm, manage and, if you ask, cancel your booking.
- To contact you about your booking (for example, a change of schedule).
- To keep simple records of payments and visits for our venue.
Where it's stored and who can see it
Your data is stored in our booking database, hosted with our database provider (Supabase). Only PlayArena staff can access it, through a password-protected staff area. The database blocks public access to customer records.
If we use workflow tools to send booking confirmations or reminders, only the details needed for that message are passed to them.
Our WhatsApp, Google Maps ("Get directions") and social media buttons are plain links: nothing is loaded from those services until you click one. Once you do, you are on their service and their own privacy policy applies.
Cookies and browser storage
The public website sets no cookies. After you book, your confirmation details are kept in your browser's session storage so the thank-you page can show them; they are deleted when you close the tab. Staff sign-in uses one essential cookie, and the staff area remembers its light/dark theme and sidebar layout in the browser's local storage (no personal data).
How long we keep it
We keep booking records for as long as needed to run the venue and meet legal or accounting obligations, then delete or anonymise them.
Your choices
- You can view or cancel an upcoming booking yourself on our website using your booking reference and phone number.
- You can ask us to see, correct or delete your personal data at any time. Email us at info@hvtechnologies.app or use the other details in our contact section.
Changes
If we change how we handle your data, we'll update this page and the date above.
